COMPENSATION: $50,000/annually, paid biweekly

ORGANIZATION SUMMARY

The Canadian Academy of Recording Arts and Sciences (CARAS) was formed in 1975 to preserve and enhance the Canadian music industry and contribute to higher artistic and industry standards. CARAS’ mandate is comprised of four key pillars: Educate through our music education charity MusiCounts’ programs and initiatives, Develop emerging artists through mentorship and development programs, Celebrate Canadian artists through The JUNO Awards and other year-round initiatives, and Honour music industry icons through the Canadian Music Hall of Fame.

THE POSITION

CARAS is seeking a detail-oriented and proactive Finance and Administration Coordinator to support our finance and administration team. This role plays a vital part in maintaining accurate financial records and ensuring the smooth execution of day-to-day administrative and accounting functions. The ideal candidate will have a strong background in financial processes, a keen eye for detail, and the ability to manage multiple tasks efficiently. 

This role will be a hybrid, with at least 2 days in the office and the other days working from home.

BREAKDOWN OF RESPONSIBILITIES

  • 80% Finance Department support
  • 20% Administration Department support

FINANCIAL RESPONSIBILITIES

  • Invoice Processing: Accurately review, code, and process vendor invoices promptly, ensuring all necessary approvals and documentation are obtained.
  • Credit Card Reconciliations: Collect and review employee credit card reports, ensure receipts and proper coding are included, and reconcile transactions to statements.
  • Bank Reconciliations: Perform monthly bank reconciliations, identifying and resolving discrepancies promptly.
  • Accounts Receivable: prepare and send invoices as outlined in invoice generation requests and follow up on overdue accounts.
  • Assisting in month-end and year-end closing processes as needed.
  • Maintaining organized financial records and supporting financial statement audits with necessary documentation.
  • Assist with grant reporting, including compiling data/metrics and proof of payment documentation.
  • Upkeep project management software as it relates to the accounting processes.
  • Ad-hoc projects as required.

ADMINISTRATION RESPONSIBILITIES

  • Assisting with data entry, document management, and the filing of financial and administrative records.
  • Liaising with vendors and internal departments to resolve invoice or payment inquiries.
  • Providing general administrative support to ensure efficient operations.

CANDIDATE QUALIFICATIONS

  • Post-secondary education in accounting or equivalent experience (current students also qualify)
  • CPA candidates preferred
  • Minimum 1 year of accounting experience (academic accounting experience included)
  • Exceptional attention to detail and organizational skills
  • Strong MS Office experience, as well as G Suite (Google Sheets, Google Docs, Google Drive)
  • Proficiency with accounting software is a distinctive asset
  • Ability to work independently and manage time effectively
