COMPENSATION: $65,000-$75,000/annually, paid biweekly

The Canadian Academy of Recording Arts and Sciences (CARAS) is a not-for-profit organization founded in 1975 to preserve and enhance the Canadian music industry. CARAS oversees:

  • The JUNO Awards – Canada’s Music Awards
  • The Canadian Music Hall of Fame
  • MusiCounts – Canada’s music education charity

Our mandate is built around four pillars: Educate, Develop, Celebrate and Honour Canadian music and its creators.

The Opportunity

CARAS is seeking a high-energy, highly driven, and highly detail-oriented Executive Assistant to support the President & CEO in a fast-paced, high-visibility environment.

This role is ideal for someone who thrives under pressure, anticipates needs before they arise, and takes pride in delivering work with precision. The successful candidate brings exceptional organizational ability, strong judgment, and a relentless work ethic.

You will play a critical role in managing the executive office’s daily operations while supporting broader Business Administration initiatives, particularly during peak periods such as JUNO Week and The Canadian Music Hall of Fame Induction.

This position offers exposure to executive leadership within one of Canada’s most recognized cultural institutions. The right candidate will have the opportunity to play a central operational role during major national events while building high-level executive support experience.
This is not a passive support role. It requires energy, discretion, ownership, and the ability to consistently manage competing priorities with calm efficiency. 

This role will be hybrid, with at least 2 days per week in the office and the remainder working from home.

Key Responsibilities

Executive Office Management (60%)

  • Proactively manage the President’s complex calendar, inbox, priorities, and travel
  • Coordinate and prepare quarterly Board of Directors meetings (scheduling, documentation, attendance tracking, logistics)
  • Coordinate Executive, Special Awards, Broadcast and other committee meetings
  • Act as primary liaison for:
    • VIP guests during JUNO Week
    • Special Award recipients
    • Board members and dignitaries
  • Manage event invitations, RSVPs, hotel blocks and executive-level travel logistics
  • Draft and manage internal and external correspondence
  • Process and track expenses
  • Handle highly sensitive and confidential matters with discretion
  • Represent the Executive Office with professionalism and polish

Business Administration Support (40%)

  • Liaise with landlord/building management
  • Manage contract signature processes through project management software
  • Coordinate staff travel and large meeting logistics
  • Take and distribute meeting minutes
  • Support budgeting, reforecasting and invoicing for assigned line items
  • Coordinate internal event logistics, including:
    • Hotel blocks
    • Pre-event briefings
    • On-site offices
    • Transportation coordination
    • Staff & Board accreditation
    • Host Committee and internal staff events

Qualifications

  • 3+ years in an Executive Assistant or senior administrative role
  • Proven ability to thrive in a fast-paced, deadline-driven environment
  • Strong knowledge of office systems and administrative best practices
  • Demonstrated time management and prioritization skills
  • High proficiency in Google Workspace (Docs, Sheets, Gmail, etc.)
  • Experience handling confidential and sensitive information
  • French language skills are considered an asset
