LOCATION: Toronto, ON (Hybrid)
POSITION DETAILS: Contract – Maternity Leave Cover (March 2025 – September 2026)
START DATE: As soon as possible
COMPENSATION: $50,000/annually, paid biweekly
ORGANIZATION SUMMARY
The Canadian Academy of Recording Arts and Sciences (CARAS) was formed in 1975 to preserve and enhance the Canadian music industry and to contribute towards higher artistic and industry standards. CARAS’ mandate is comprised of four key pillars: Educate through our music education charity MusiCounts’ programs and initiatives, Develop emerging artists through mentorship and development programs, Celebrate Canadian artists through The JUNO Awards and other year-round initiatives, and Honour music industry icons through the Canadian Music Hall of Fame.
OVERALL POSITION
The project coordinator will work primarily within the administration department, however cross-functional collaboration with other departments will be required for various projects. This role requires efficient multi-tasking, time management, and strong attention to detail. The project coordinator will also assist the overall team on-site at the 2026 JUNO Awards from March 24-30 2026.
KEY RESPONSIBILITIES
- Manage company project management software (Wrike)
- Assist with onboarding new employees to the software
- Troubleshooting
- Help with implementation/streamlining of processes
- Manage the invoice intake through the software
- Coordinate translation requests and liaise with CARAS’ external French translator (through project management software)
- Onboard and offboard employees as required
- Assist with funding reports as required
- Manage requests and tracking of licenses for copyrighted content
- Act as CARAS liaison with the external IT company, Business Cloud
- Maintain and update the corporate intranet
- Hotel Inventory Support
- Work closely with the Executive Assistant to the President & CEO to establish needs and requirements
- Liaise with stakeholders/partners and work with them to establish their requirements and ensure their needs are met
- Coordinating/assisting JUNO Week logistics working closely with the Executive Assistant including:
- Staff accommodations and travel
- Logistics meeting
- On-site office
- Local transportation
- Staff dinner & party
- Accreditation
- Assist other departments as needed in streamlining processes
- Support Administration department with various tasks (Finance, HR, General Administration, etc)
REQUIREMENTS
- Keen attention to detail
- Knowledge of project management software (Wrike, Asana or similar) an asset
- Training will be provided
- High level of proficiency in working with spreadsheets
- Ability to self-manage and be proactive
- French as a second language is an asset
- Proficient with Google Suite (Docs, Sheets, Gmail, etc)
- Resourceful and flexible, a self-starter
- Proven organizational and time management skills
